Job Title:  Test Prep Student Coordinator
Reports To:  Assistant Director, Administrative Services
Pay Rate:  $18 per hour
Hours Per Week:  15-20
Days and Schedule to be worked:  Monday-Friday during normal business hours

Position summary:

Test Prep, a fee-based service at THINK TANK, provides comprehensive preparation courses and private tutoring for college admissions and graduate school entrance exams. The Test Prep Student Coordinator performs a variety of tasks to support the effective provision of Test Prep services. The Test Prep Student Coordinator is responsible for managing several administrative tasks for the program including but not limited to communicating with customers, processing payments, coordinating course logistics, and assisting with tasks related to the marketing and assessment of the program.

Duties and Responsibilities:

  • Provide information to and assist customers with the process of registering for Test Prep services. Resolve customer service issues including but not limited to registration, payment, and questions about policies and procedures.
  • Manage communication sent to students enrolled in courses via the Test Prep email. Assist with drafting and revising of official course communication, course policies, and website copy.
  • Collect and record payment for services in compliance with department, university, and payment card industry standards. Issue refunds approved by Director. Create invoices for campus and community partners.
  • Coordinate course logistics including performing routine scheduling and data system set up, reserving rooms, ordering supplies and maintaining inventory, preparing course and instructor materials, and creating the proctoring schedule.
  • Assist with program data collection and reporting. Regularly update tracking spreadsheets and reports.
  • Assist with administrative projects that contribute to the development and growth of the program and perform other administrative duties as assigned.
  • Regularly communicate the progress, outcomes, and direction of work to the Assistant Director. Make recommendations concerning improvement of Test Prep processes.

Qualifications:

  • A current University of Arizona undergraduate or graduate student enrolled in at least 6 units.
  • At least 1 year of work experience in customer service.
  • Functional computer skills (Microsoft Word/Excel, Box, Adobe products, etc.).
  • Excellent communication skills; comfortable with communicating and corresponding professionally with customers and staff.
  • Strong attention to detail, ability to prioritize and manage multiple tasks with minimal supervision.
